A meeting of the Board of Directors of the Chattanooga Chapter of the University of Alabama was held at 6:00 p.m. at Blue Water Grill in Downtown Chattanooga.



Attending: Alan Hutchins, Ron McKelvy, Jack Danner, Sandra Collins, Rick Collins, Christina Cox, Amber McEachin, Terry Nida, Tammy Pearson, and Butch Cox, President.



Butch Cox, President, called the meeting to order at 6:10. Secretary’s Report was given by Tammy Pearson. President Cox asked for a motion to approve the minutes. Ron McKelvy made the motion, Butch Cox seconded, and the minutes were unanimously approved.



Treasurer Report was given by Amber McEachin. Treasurer stated that the club balance was $5,700 with two outstanding checks, one check in the amount of $1,680.00 to University of Alabama, and one check in the amount of $250.00 to Eli Gold (both checks have been outstanding almost one year). There was much discussion about what to do about outstanding checks. Ron McKelvy has made phone calls to the university, but letters have not been sent. Rick Collins will call Mark at University, and Amber will sent a follow up letter which includes check number, date, and amount of check. President Cox asked for any more discussion on checks, with none given, the above actions will be taken. This motion was made by Christina Cox; Alan Hutchins seconded, and was passed unanimously. The new budget will be based on $5,000.00 for this fiscal year.



President Cox started with new business. The discussion started with the golf tournament. Bob Moss will give update about the golf tournament at next board meeting. Discussion regarding net over expenses estimated that the net should be between $8,000.00 and $11,000.00.



President Cox asked for committee reports from Membership Committee. Rick Collins spoke on behalf of Betty Johnson. Rick stated that he will be assisting Betty with the membership list. Rick will get membership list and make the necessary phone calls. Alan Hutchins offered assistance where needed. Rick Collins introduced a new idea that had been used in another chapter. He proposed 1st year membership free to new members. This proposal is an effort to bring new members to the club and get them involved before asking them for any monies upfront. The new members would be required to be on a committee if the dues were waived. After much discussion, President Cox questioned a proposal to change the membership policies. Ron McKelvy suggested going back to committee, and bringing a proposal to board. President Cox asked Rick Collins to discuss with other committee members and bring proposal to next Board meeting. Report then moved to renewals, in which Rick stated if everyone renews we would have 100.



Amber McEachin started discussion about keeping in contact with former and present scholarship recipients. The more contact that is given to the students, the more likely they will join our club after they graduate. Ron McKelvy suggested that this be a part of the scholarship committee responsibilities. Christina Cox stated she has talked to the area recruiter. The recruiter asked our club for several things, the first was to keep in contact with her throughout the year. The second request was to help with an open house for local students to come and see presentation about the University of Alabama. She would like us to work close with her and possibly provide a place to hold function. The recruiter’s job focus is to get the highest GPA students for the University of Alabama. Everyone in attendance felt it would be good exposure for the club. President Cox asked Christina to coordinate with Sharon, Scholarship Chair, to try to facilitate the request.



The meeting discussion then moved to raffling of season football tickets. Butch Cox purchased season tickets for the home games. The board agreed that the tickets would be a great fundraiser for the club.



A motion was made by Ron McKelvy to purchase tickets and reimburse Butch Cox for the ticket purchase. Alan Hutchins seconded motion, and the motion was passed unanimously. Discussion turned to raffling tickets as a whole or individually, in which individually was ultimately chosen. Carol Mann, from the Salvation Army, had requested the UTC tickets for her project. The club would be given exposure by the Salvation Army for the donation of tickets. After much discussion, the raffle will be as follows:

Sept. 12th –Florida International- Drawing will be done on September 9thfrom members who

have paid their dues.

North Texas-Christina Cox purchased and funds went directly to scholarship fund

Arkansas/South Carolina-Raffle will be drawn on Sept 24th. Two tickets will be drawn and the

1st ticket drawn gets the choice of Arkansas or South Carolina. Second ticket will get remaining game.

Tennessee-Drawing will be held October 22nd.

LSU-Drawing will be held on November 5th

UTC-Tickets were to be donated to Salvation Army



Raffle tickets will be $10.00 each with a set of three raffle tickets being sold for $25.00 (these are for all three drawings-can not be used for single game ) i.e. must get Arkansas/South Carolina, Tennessee, LSU not three of Tennessee, etc.

Tammy Pearson made a motion that the outline of the raffle be accepted, Christina Cox seconded and the motion passed unanimously.



Terry Nida reported on the bus trip planned for the Arkansas Game. Terry ordered tickets in July for the trip in the amount of $1,660.00. In a called board meeting on this purchase, the board made a motion for Terry to buy the Arkansas tickets and be reimbursed by the club. Terry stated that 40 people are needed for bus trip to break even. Tickets for members are $85.00/non members $95.00 which includes game and bus ride. Terry promoted the trip on Sportstalk the day of the meeting. As of the meeting he had between 15-20 commitments. If members had tickets they could ride the bus for $30.00.


Football Parties were the next topic of discussion for the board. For better attendance at the parties, it was suggested to pick one place for the entire year. Christina Cox will check with Bud’s to verify that it is acceptable with them to put Bud’s on our website and to make sure the Bama games will be televised every time, and also possibly putting a banner with our club name at Bud’s.



President Cox introduced a possible fund raiser for the club. He has reserved Dallas Bay Airport on October 31st from the hours of 10-2. He has secured the planes and fuel, but is still in need of additional pilots for this activity to be possible. Tickets would be sold for $50.00 each for an approximately 30 minute flight. The flights would be a great opportunity to see the fall foliage in the area. It could be possible to get nine fares per hour. Liability waivers are to be signed before boarding plane, as a precaution for the club. Butch will give report after further discussion with airport next week.



The Fall Dinner was the final topic of discussion of the evening. Christina Cox suggested speakers other than football related. All University of Alabama sports were mentioned, with thought given to the area sport participates hearing a speaker for their sport from the University. Also mentioned was the Dean of Engineering to get local kids interested in engineering to come. Christina also suggested that the meeting be held in one of the local hotel meeting rooms. Gymnastics head coach, Sarah Patterson, is the suggested speaker. Tammy Pearson will contact Sarah. Dates suggested are October 1st or 8th, however if the coach couldn’t come on those dates, she could suggest a date. Christina suggested that we get on the docket for Cornelius Bennett for the spring dinner. Ron McKelvy made a motion that the speakers for the fall and spring docket be approved, Alan Hutchins seconded, and the motion passed unanimously.




President Cox called for any additional discussions, there being none, the meeting was adjourned by President Cox at 7:51 p.m.
